Aim for perfection.

That's a pretty lofty concept. It's definitely not easy - especially when speaking of core business processes. Moving toward perfection requires measurement, analysis and documentation. And if you really want perfection, then you need more sophisticated, quality control, tools. But is driving toward that ideal of perfection worth the effort?

If you want to increase quality and dramatically save costs in production, then, yes, the road to perfection is definitely worth the driving time.

Forward Steps, Quality and Processes

Last time, we discussed process mapping, quality control, to increase communication and understanding within an organization and to effectively develop a system of procedures. Now, let's take a forward step, and look at how, quality control, Six Sigma tools can decrease variability and increase, quality control, quality in your processes.

Six Sigma, Pyramids and Systems

The Six Sigma methodology is an advanced set of tools designed for problem-solving and quality improvement. A 'sigma' refers to the standard deviation from the mean of a population. Standard deviation indicates the likelihood that your next data point will deviate from the mean of the, quality control, data set.

At the bottom of the Six Sigma pyramid begins a system's current process capability, quality control, . Usually at 1 or 2 Sigma levels is "tribal" knowledge based, quality control, on first-time experiences. An organization moves up the pyramid to 3 Sigma as systems are put in place., quality control, To hit 4 Sigma, statistics and modeling tools are used for significant process improvement. And, finally, to aim for that near perfection, organizations apply DFSS, or Design for Six Sigma.

Why?

Measurement, Analysis and Documentation

Why do (and should) organizations, quality control, use these concepts to move up the pyramid and toward quality improvement? Why is it necessary to measure, analyze and document processes - and, if needed, make those desired, quality control, changes? Why drive toward perfection, and what does it mean in real terms?

If your current process capability runs at 1 Sigma, then that effectively means you have two defects (unusable products) out of every 3 parts. That means 67% of your costs simply become waste, with no return on your investment. At 2 Sigma, quality improves with 1 out of 3 parts as defects. But that still has an error rate of 33%. Not until 3 and then 4 Sigma levels will you see dramatic improvements. Put in these terms, you quickly see how such errors keep you from realizing a greater potential.

Transactions, Multiple Steps and Tolerance

Organizations most effectively utilize Six Sigma methodology in two situations. One, if a business works with a very high volume of transactions per year, then they can not tolerate low sigma levels. For example, a 99% effective rate for 1 billion transactions per year still yields 10 million defects. In any industry, that is not acceptable.

Another situation that calls for Six Sigma methodology is when an organization (i.e. manufacturing) has processes with multiple steps. Here total error rate is critical. For example, the effective rate is 99% for each step; however, that does NOT give the total error rate as 1%, quality control, . You must take the 99% for the first step and multiply it by 99% for the second step, the third step, and so on. With a great number of steps, your total effective rate could significantly decrease. So, to avoid high volatility, this organization can not tolerate low sigma levels.

Organizations can also determine error rate by effectively reversing the typical process of Six Sigma. You can calculate the mean and variance in your process to define the error, quality control, rate. This tells you where you are currently on the Six Sigma curve. For example, if your calculation tells you that you're on a 1 or 2 sigma level, then this is an area, quality control, in need of improvement. This gives you an opportunity to look at the data more carefully, take the mean and variance of each step of the process, and determine in which step the process is having problems. Or it could tell if you there are many steps causing the problems and, thus, the cumulative increase in error rate.

Processes, Procedures and Control

Organizations use the Six Sigma methodology, because you can't get any higher than 2 Sigma ("tribal" or basic knowledge), quality control, without putting strong processes and procedures in place. And without strong processes and procedures, you can not move toward higher quality and system optimization - toward perfection. Are you really satisfied with 67% of your product lost as waste? Are you, quality control, satisfied with such high variability in your system?

Problems, Resources and Results

If needed, you can change your process to reduce or eliminate this variability or error. Six Sigma methodology tells you when to take action to solve a problem. It moves an organization, quality control, to consistently meet the requirements and minimize the resources used in its management system. And it creates the desired results for which the system, quality control, was designed.

Systems, Control and Perfection

Remember, though, you can only get to 3 or 4 sigma by developing a system of policies and procedures of measurement, analysis and documentation. And with this you will easily see that reducing your error rate and moving toward perfection with Six Sigma tools is well worth the driving time - and, more, crucial to your system's control.

These simple questions still throw people off and many feel the need to justify and explain why they can't. The usual excuses are "you don't understand what we do," "it can't be measured," it's all about long-term branding," etc., such answer could easily constitute a book of excuses in itself.

Marketing is a risk

Time

If there is one, quality control, element that we're all in short supply of, it's time. The funny thing is that we are also all given the same amount every, quality control, day.

Time is your second big risk factor. You need to use it in the best you can as it moves without fail towards a result (one that you might not even like.) Don't get me wrong, it's not about controlling time, it's about controlling your use of it.

There are mainly two ways to control it better: reach and frequency (one just doesn't go without the other.)

Reach is simple, do you have access to the people that matter in your sales cycle?

If the answer is no, then you need to redesign your database strategy as ‘no great database, no great business'. It is the life blood of your marketing operations and now includes analytics where you develop, quality control, more and more relevant, quality control, segments based on statistical behaviour. This level of segmentation allows you to develop the right campaigns which, coupled with sending them at the, quality control, right time, can turn your, quality control,, quality control, marketing into a powerful business force.

So implementing a campaign at the right time is the first aspect of leveraging time to the fullest. The second is sending it frequently enough so that each campaign has an impact (but not too often so that it doesn't become a nuisance.) That balance is crucial in an opt-in world where customers have more opportunities to complain, or walk-away, than ever before.

Money

Where would business without money?

It's best not to answer that question, the rhetoric would take too long.

If you are like most businesses your marketing budget (and others) will be finite. So what can you do to maximize, quality control, (or optimise) it? Answer: Treat your budget just like any, quality control, other financial investment and conduct a risk analysis.

A typical risk analysis will comprise both a qualitative and quantitative aspect forcing you to look at each element and ask what would happened if we didn't invest it? What are the internal and external factors influencing this investment? What are the threats? Etc. One of the most important question is what would, quality control, happen if we invested this amount in another project?

The last question is crucial as we all take for granted that investing in marketing is necessary. It's not. If you do it badly, you're better-off investing that money into a more secure project where the returns outweigh the costs. This,, quality control, quality control, is a crucial issue and no marketer should expect to have his or her budget, quality control, simply because the department exist.

Fundamentally, marketing is a necessity in today's environment but not matter how big the investment is, it should be subject, quality control, to scrutiny just like any other business investment. The funny thing is, it is not and often marketers, quality control, expect their budget to grow from year to year without really questioning its relationship to other parts of the business.

There you have it. Marketing is a risk and you can't go on happily thinking that whatever you're doing is working for the best of the organisation. By the time you do so, the market will have shifted from under your feet.

One last point, when doing a risk analysis remember that marketing is often an opinion. An opinion tainted by the marketer's worldview, or his boss's, an opinion based on campaigns that worked and are expected to work again. Let's face it, marketing evolves even though some of its fundamental precepts are eternal. So the risk here is not just people, time and money, but to be closed minded, not be open to testing, not trying new things, that is the biggest risk of all.

Although supply and material costs are likely to be a small part of your cleaning company's expenses, these costs are continuing to spiral, and so controlling these expenses will lead to more profit for your business. These days, prices, quality control, change quickly, so the total expense of your supplies may not be accurately reflected in cleaning bids. Keeping these costs down are important to remain competitive as well as staying profitable.
Following are tips to keep your costs down:
Always buy high quality brand name products that work well for you. If a new product comes out, ask your distributor for a sample that you can try to be sure the product will work in your situation. Low priced chemicals aren't necessarily the best choice, quality control, . If you have to use more of a "cheaper" product, than you are not really saving any money.

Don't make a buying decision solely based on cost. If the product is being delivered to you make sure you know what the shipping charges are and include those in figuring out the total cost of the product. Toronto Set to Go Further With BioDiesel

Toronto, ON May 13, 2004 -โ€" Diesel vehicle owners, and bus and trucking fleets in the Greater Toronto Area (GTA), quality control, now have a second convenient local source of BioDiesel, a renewable vegetable oil-based fuel that can increase diesel engine, quality control, life while dramatically reducing emissions. All firms need to establish a strong brand in order to effectively compete with and be distinguished from other companies similar to theirs. A strong brand allows individual ideals that convey the durability and power of the company, its products and service offerings. in addition to showing how its offering is distinctive from other products, the brand clearly expresses features and benefits that appeal to the marketplace and individual customers. The companies that produce a clear statement about the strengths of their respective brands generally enjoy greater overall success in business.



A strong brand will achieve a number of results. The brand name will identify the products or services offered and will classify the quality of these offerings in the marketplace. Additionally, the core values of the product and firm should be evident and the mission and specialty, quality control, of the company should be clearly defined. The net result of brand creation should be an expression of the personality and character of the firm and a representation of the quality of the product offering.



Product and Service Branding:



Branding, which is not only limited to products, allows for individual service firms to often act as aggressive branders. Senator Kenneth P. LaValle Conducts Public Hearings on CPAs in Post-Enron Era



NEW YORK, NY, February 8, 2002 ยกV The New York State, quality control, Society of Certified Public Accountants (NYSSCPA), the oldest and largest state accounting association in the nation, testified last week at hearings conducted, quality control, by Senator P. LaValle, Chair of the New York State Senate Higher Education Committee, quality control, . The testimony will address CPA independence and regulation in light of the recent bankruptcy of the Enron Corporation. Senator LaValle leads the nation in setting up such hearings at the state level to look at the regulation of CPAs.


In its testimony, NYSSCPA will call for ยกยงraising the quality barยกยจ and will make specific recommendations, quality control, for changes in New York State regulation, disciplinary systems, enforcement and peer review. The NYSSCPA also points out the need for a state initiative, quality control, to assist citizens with retirement planning.


In addition, the testimony addresses the interplay between auditing and consulting services, specifically in the non-SEC registrant sector of the economy. The NYSSCPA advises that any consideration to constrain consulting services in the non-SEC sector could have an unintended negative impact on small and medium sized

businesses that rely on CPA firms for, quality control, business advice. Removing such services would disrupt businesses unnecessarily and force them to seek similar services from lesser qualified providers. These businesses tend to not have staff in the areas where expertise is required, and rely more heavily, quality control, on their external auditor for specified consulting services.



Following are the recommendations outlined in the testimony:

โ€žh Reconstitute the, quality control, State Board for Public Accountancy. The New York State Board does not function as an independent regulatory and enforcement, quality control, body, as it does in all other states. Instead,, quality control, it functions in an advisory capacity only to the Board of Regents, which regulates the profession. The NYSSCPA recommends that this Board be reconstituted with more power, independence, stature and resources to protect the public. Consistent with other initiatives at the federal level, the Board should include additional public members with stature and backgrounds that would ensure strong public oversight.

โ€žh Enhance the State Education Departmentยกยฆs capacity and resources. The New York State Education Departmentยกยฆs Office of Professional Discipline (OPD) needs additional qualified staff and resources to be able to investigate and discipline, quality control, effectively. The disciplinary process must reinforce the professionยกยฆs ethics code and New York State laws.

โ€žh Ensure public and private cooperation in disciplinary proceedings. The Society recommends creating an effective, cooperative joint investigation and disciplinary action process between OPD and the NYSSCPA Ethics Committee to enforce, quality control, the code of professional, quality control, ethics and the public accountancy laws and regulations. Currently these two bodies proceed independently. Cooperation will coordinate efforts and expedite timely completion of investigations.

โ€žh Extend and intensify the peer review process. Improve peer view (a process in which one CPA firm analyzes the quality control systems and professional work product of another) of CPAs with certified peer reviewers, quality control, selected with an independent body. Currently firms can select their own reviewers. Make mandatory peer reviews for all registered CPA firms that provide audit and attest services. Currently, only CPA firms who audit SEC registrants are required to be peer reviewed.

โ€žh Register and regulate all CPAs. Currently, New York State does not register or regulate, quality control, CPAs who work as financial statement preparers or internal auditors. Like CPAs in public practice they are a part of the system of checks and balances that provides integrity to financial statements. These CPAs should also be subject to discipline for professional conduct breaches and to continue professional education.

โ€žh Raise the quality bar. The NYSSCPA has developed educational programs and professional, quality control, guidance on quality control processes for CPA firms. It is currently developing more extensive guidance on issues such as the analysis of independence threats and safeguards and document retention and recovery guidelines.

โ€žh Elevate public confidence in financial reporting. Strengthen the current regulatory environment to prohibit unregulated individuals from preparing financial statements.

โ€žh Require ethics education. Integrate business ethics into high school and college curricula to highlight that technical competence is constrained by a demanding code of ethical conduct that stresses independence and protection of the public.

Business Dealings With Foreign Suppliers - Effective Relationships to Build a Better Business

Humble beginnings

During the last decade globalization has opened the flood gates of foreign trading and the backwash has run into the crevices of even the smallest companies. Where once only large organisations could deal effectively with far away suppliers now even the most modest of traders can source supply from foreign producers.

My experience of foreign trade began in the summer of 2003 when I worked for a small importers of wooden toys and games including chess sets. I became the companies primary contact with suppliers, all of whom were based in China. Because the company was so small (turn over well under £1m) staff numbers were thin on the ground. This meant my role was very varied, I would deal with packaging, product design, quality control and general negotiations with suppliers.

After a fairly short time in the role I quickly realized that things were, quality control, going wrong, very wrong. Products were incorrect, quality was poor, &control of quality completely non existent! My discussions with the mildly competent sales department taught me that half of what they were selling were partially defective clearance lines. In fact the company was running in a highly inefficient way. External factors such as a very strong, quality control, pound, a booming economy and extremely low labour costs in China were the only things stopping the company from going bust. Indeed once these factors switched to less favorable ones they did go into administration.

What surprised me most about this slowly sinking ship was how face to face interaction with their suppliers was virtually non existent. In fact the only contact they had with their suppliers was via email. They were getting container loads of stock, quality control, sent over to the UK not knowing if the contents, quality control, was going, quality control, to be sale-able or destined for the bonfire. I was unable to effect many changes within, quality control, the company due to the belligerent and stubborn owners so after twelve months I left to set up my own business importing chess sets and other goods from China.

A new start

Initially things looked, quality control, very Rosy, the economy was still, quality control, in boom mode, the pound strong and on line demand for these products high. Using these advantages, quality control, I managed to build a small yet profitable business importing products from China and retailing them on line through various e-commerce platforms. I was dealing with two Chinese suppliers, both of, quality control, who were contacts from, quality control, my days at the ailing toy importers.

It's fair to say that had I been a total stranger these suppliers would not have started to deal with me, they were too big to want to deal with a small start up. Because they knew me and the, quality control, way I worked both were keen to help me build my fledgling company. MOQ's were low and prices good, things were looking up.

And so the pitfalls came

Things started to go wrong when the quality of the products began to suffer. Batches of perfectly good products would arrive in containers,, quality control, followed by repeat orders that were riddled with defects. While I sat down and worked out the cost to my company of these mistakes the Chinese searched for pathetic excuses and reasons why they were not going to refund me.

I quickly realized that the only way I was going to sort out these issues was to get myself over to China, meet the suppliers in person and see with my own eyes how my products were being made. I booked my flight and told the suppliers I was coming. I was keen to show them that I meant business and that if we could work through these issues together business would flourish.

It's worth remembering that capitalism, quality control, and business is fairly new to countries, quality control, like China. Our sense of business in the developed side of the globe is a far cry from their rapidly developing business world. It's these differences that cause so many problems between Chinese and English companies.

It became clear to me that the Chinese were unable to see past the current deal they were working on. So obsessed with making a profit on every single order they would sooner murder their children than break the rule of capitalism and make a loss. In the developed world things have evolved a lot more. We know that sometimes you need to take a loss today in order to facilitate a profit tomorrow and beyond. We have all been there:Making, quality control, a costly concession for a customer to rectify a bad situation in the knowledge that the reputation these actions will bring is worth 1000 times what we spend to keep them happy.

During my dealings with the Chinese I would visit the suppliers around, quality control, four times each year. I would inspect my products, ensure they fixed mistakes in production and suggest positive ways they could make their lives easier. Some people have suggested that everything that's ever been invented in the world started it's beginnings in a garden shed in England. It seems the, quality control, English have an in built sense of practicality, innovation and ideas. Of course without the rest of the world to help us these great, quality control, ideas would probably all still be in the shed but it's worth remembering that people from other cultures can sometimes lack what we would call 'common sense'

Take nothing for granted when sourcing your products from suppliers abroad. If a box says 'This Way Up' don't ever assume the supplier will rotate it the right way. If you simply assume they will use common sense to get it right expect nothing more, quality control, than a shrug of the shoulders from the suppliers while you pull our your hair after it's all gone wrong!

Lessons learned, time to move on

These days I don't buy anything from China, India became the source of many of our fine chess set products after a conscious decision was taken to move away from mass produced goods into higher end crafted products. The lessons learned from the China experience have enabled me to deal effectively, quality control, with the Indians and avoid the pitfalls I previously faced with China.

Which ever country you are dealing with the same principles, quality control, apply. By far and away the best method of dealing with your supplier is face to face. It shows the supplier you are serious, that you mean business and that you are in it for the long haul. Meeting, quality control, the supplier, quality control, in person can be a reassurance that you are not dealing with an Internet scamster selling someone else's rejects, or it can be the meeting you needed to realize they are not worth the risk. Either way, you need to get out there and see them. If your business is not worth the price of a plane ticket and a few nights in a hotel then it begs the question, what is it worth?

These days I also buy from EU based countries,, quality control, Spain, Poland, Italy. While the prices are nowhere near as good as the Chinese the products and service are in a different league. Trading with other EU members is so easy and has become very profitable for my company. I would still advise visiting your EU based suppliers in person for the sake of growing your business, indeed the trips I have made to European cities have been much more pleasurable than those to industrial Chinese areas.
